KPIs (Key Performance Indicators)

KPIs can only be added to notes. They are designed to provide learners with quick and easy to understand feedback. KPIs can contain sub-categories to let you group similar notes together, while still being able to see the detail for reporting purposes.

For instance you might make a KPI- concern. This lets tutors and learners see at a glance what the note is about. Within the category of Concern you could add sub-categories for each level of your disciplinary procedure. You can then easily share with learners where they are in the process.

Create a KPI

Create a New KPI

  1. To create a category select Create KPI.

  2. Select a colour from the drop down menu.

  3. Choose a KPI Name eg. Academic Achievement. Clear and specific names will make it easier for reporters to select the appropriate KPIs.

  4. Select the Tick button to create the KPI.

Create a Sub-Category

  1. Find the main KPI you want to add a sub-category to.

  2. Select the Menu Button, then + Add KPI sub-category.

  3. The sub category will have the same colour as the KPI it belongs to.

  4. Choose a KPI Sub-Category Name eg. Academic Probation. Sub-Categories should be as different from each other as possible to make choosing the right one easy.

  5. Select the Tick button to create the sub-category.

Edit KPIs

KPIs and KPI sub-categories are both edited in the same way.

  1. Find the KPI you want to edit.

  2. Select the Menu Button, then Edit.

  3. Make any required changes.

  4. Select the Tick Button to save the changes.

Search KPIs

If you have a lot of KPIs you might want the check what already exists to avoid making overlapping ones. You can search for a keyword to see if a KPI already exists or you can filter the displayed KPIs to only view the ones you are interested in.

Use the Search

  1. Type a key word into the search bar.

  2. As you type the KPIs are sorted.

    Any KPI sub-categories that contain the search term are shown. If the search term is the name of a KPI all of its sub-categories are shown. eg behaviour.

Use the Filter

By default all of the KPIs and KPI sub-categories are shown. To only look at specific KPIs select the drop down box.

Inside the drop down menu you can select as many KPIs as you want. The filter will be applied immediately.

Inactive KPIs

If the KPI you are looking for is not shown it may be inactive. To show inactive KPIs. Select the Include inactive toggle. Any inactive KPIs will be shown with an (inactive) label.

Remove a KPI

KPIs and KPI sub-categories can both be removed in the same way.

Delete

A KPI and KPI sub-category can only be deleted if it has never been used.

  1. Find the KPI you want to remove.

  2. Select the Menu Button, then Delete.KPI screen with menu and delete buttons highlighted

  3. A confirmation message will show and the KPI will be removed from the list.

Once a KPI is deleted it can not be restored.

Mark Inactive

If a KPI or KPI sub-category has been used it can't be deleted. You can instead mark it as inactive. This will remove it as an option from any other screen that uses KPIs.

  1. Find the KPI you want to remove.

  2. Select the Menu Button, then Mark inactive.

  3. A confirmation message will show and the KPI will be removed from the list.

Mark Active

Restoring KPIs and KPI sub-categories is done in the same way.

  1. Ensure the Include inactive toggle is turned on.

  2. Find the KPI you want to restore.

  3. Select the Menu Button, then Mark Active.
